Introduction

The communication policy aims to ensure transparency in all communication processes carried out by the center, to guarantee integrity and avoid unofficial communication by individuals who do not officially represent the center. Therefore, the approved internal and external communication channels with relevant stakeholders are clearly outlined.

Types of Approved Communication

The communication policy is divided into three main types:

Type One: Internal Communication

The center focuses on providing effective channels for communication between departments and staff to achieve administrative harmony. These include:

  • Internal communication devices between departments and staff.
  • Emails linked to the center’s internal network (staff department).
  • Work-dedicated messaging groups such as WhatsApp.
  • Regular scheduled meetings between administrative teams.

Type Two: External Communication

This type of communication is conducted with official entities, whether governmental, private sector, or non-profit organizations, for the purpose of completing tasks, issuing permits, or forming partnerships. Approved means include:

  • Official websites of those entities.
  • Official emails approved by those entities.
  • Verified social media accounts belonging to those entities.
  • Officially published contact numbers.
  • On-site visits when necessary, if procedures cannot be completed electronically.

Type Three: Communication with Trainees (Beneficiaries)

The center provides several channels to ensure quality communication with trainees, including:

  • The official website, which includes all contact channels (WhatsApp, email).
  • Discussion forums linked to synchronous courses, to facilitate communication between trainees, trainers, and peers.
  • The center’s dedicated WhatsApp number, available around the clock.

Communication Etiquette and Ethics

  1. Listening carefully to the trainer’s or supervisor’s instructions at the beginning of the program.
  2. Asking questions and inquiries at the appropriate and designated time.
  3. Maintaining full respect and refraining from offending others.
  4. Avoiding discussion of topics outside the scope of the course.
  5. Using proper language when writing exercises or assignments.
  6. Adhering to the official language of the course.

Procedures for Violating Communication Etiquette:

  • Permanent removal of the trainee from the course in the case of synchronous training.
  • No refund of course fees in the case of synchronous training.
  • Blocking the trainee’s access to the course if it is asynchronous training.
